Overview

In version 7.0, VTA has greatly expanded the Email capabilities for the new enrollment approval process.

You can send these notices to Students, Instructors, Supervisors, Enrollment Approvers and/or their Delegates as long as they meet the notice criteria and have a valid Email address on their Student record.

Even better, you can configure (select the Email Template) that the automated notices use Site by Site. To do this, access the new Notification Settings tab of the Site record in VTA Utilities.

Note: Enrollment notices will be sent when changes occur in VTA Learner or VTA Administrator.

Email Templates

Each notice will allow you to select a unique Email Template to use for the note (depending on the associated Note Type).

There is a default Email Template for each notice that can be sent.

In a multi-site configuration, each site can use a different Email Template.

Include in Calendar Notifications

Determine additional material to include in the .ics file (calendar attachment) when notices are sent.

Student Class Enrollment Notices

These notices will be sent to the Student and used when:

    • A Schedule Class Session does not require approval from the Student’s Primary Supervisor.
    • A Student has been enrolled by a VTA Backoffice Site User or by their Department, Work Area or Team Supervisor into a Schedule Class Session which does require approval. It is then considered “pre-approved”. The Student’s Primary Supervisor does not need to also approve.

Student Class Enrollment Pending Notices

These notices will be sent to the Student and used when a Schedule Class Session requires Approval from the Student’s Primary Supervisor and:

    • The Student has self-enrolled.
    • The Student was enrolled by a VTA Backoffice Site User with an “Attend (Pending)” or “Wait (Pending)” Status.

Student Class Enrollment Approval Notices

These notices will be sent to the Student and used when a Student’s Primary Supervisor has acted upon (or failed to act upon) the Student’s self-enrollment into a Schedule Class Session which required approval.

Student Self-Study Notices

These notices will be sent to the Student and used when a Student’s Primary Supervisor has acted upon (or failed to act upon) the Student starting a Self-Study Course which required approval.

Approver Notices

These notices will be sent to the Primary Supervisor, or their current Delegate, and used when a Student has self-enrolled into a Class Session which requires approval from the Student’s Primary Supervisor.

Session Notices

These notices will be sent to the Student on a Roster of a Schedule Class Session and used when there is some type of change to that Schedule Class Session.

Student System Notices

General notice sent to Students.

Supervisor System Notices

General notice sent to Supervisors.

Student Acknowledgement

These notices will be sent to the Student when a VTA Site has the Student Acceptance/ acknowledgement Is Required For Learner Access option on the Site record’s Other tab set to “Yes”.

Instructor Notices These notices will be sent to the Instructor and used when they have been added or removed as a Schedule Class Session Instructor.
