Compliance Training with Team Management in VTA 7.2
Overview
I first mentioned Team Management (TM) in a blog from July last year.
TM was designed to assign the right training for a student’s compliance training needs according to their Risk Level and Preferred Language, according to input from their Primary Supervisor in Learner.
As we wrap it up into VTA 7.2, I’d like to officially introduce you to the 7th assessment type available in VTA to help meet your compliance training needs!
As always in VTA, the terms used in Team Management (including “Team Management”) can be re-labeled to fit your organization’s culture, so don’t worry about “Primary Supervisor”, “Items”, “Risk Level”, etc. You can always change them. |
Team Management Data Structure
TM data is structured first by creating a Team Management Group (TMG), such as “My Risk Assessment”.
In a TMG, you associate an unlimited number of topics called Items, such as “Anti-Corruption”, “Anti-Money Laundering”, “Security”, etc.
Each Item is then associated to one or more Teams; one for each combination of “Language” AND “Risk Level”.
When the Primary Supervisor approves a TMG draft, the student will be assigned to the Team associated to the selected Risk Level for the student’s Preferred Language. The training associated to that Team will be immediately added to the student’s training plan (VTA Learner My Plan page).
The image below demonstrates the data relationship of a TMG (“My Risk Assessment”) with an Item (“Anti-Corruption”) that has training available in 3 languages (“English”, “Dutch” and “Portuguese”) for 3 Risk Levels (“High”, “Medium” and “Low”).When a Primary Supervisor associates a person as having a “Medium” Risk Level” and their Preferred Language is “Dutch”, the student will be added to the “Dutch-Medium” Team and have the specific training assigned (once approved ) for their training needs. |
Team Management Group Item Types
Each Item has a Supervisor Can Manage field/flag that you can turn on or off. This controls if an Item can be rated by the Primary Supervisor in Learner.
- When ON (“Manageable”), the Primary Supervisor can select a Risk Level for the student in Learner.
- The student will be assigned to the Team for the selected Risk Level for their Preferred Language.
- When OFF (“Required”), the Primary Supervisor will only be able to see the Item in Learner as part of the TMG, but they will not be able to rate it.
- The student will automatically be assigned to the Team for their Preferred Language (which can be selected by the Primary Supervisor in Learner).
There are 4 types of Items you can add to a TMG:
- Required/English Only – The Item cannot be managed by the supervisor AND the training is only available in English.
- Manageable/English Only – The Item can be managed by the supervisor, BUT the training is only available in English.
- Required/Multi-Language – The Item cannot be managed by the supervisor AND the training is available in languages in addition to English.
- Manageable/Multi-Language – The Item can be managed by the supervisor AND the training is available in languages in addition to English.
Required/English Only
When an Item is “Required” (“Supervisor Can Manage” field is not selected), but you only provide the training in English, you would associate that one Team to the Item.
Once the TMG is published, everyone associated to the TMG will automatically be assigned the training in English.
Manageable/English Only
When an Item is “Manageable” (“Supervisor Can Manage” field is selected), but you only provide the training in English, you would associate one Team for each Risk Level to the Item.
The training (in English) is only assigned once a Risk Level rating is approved by the Primary Supervisor in Learner.
Required/Multi-Language
When an Item is “Required” (“Supervisor Can Manage” field is not selected) and you provide the training in additional languages to English, you would associate a Team for each Language to the Item.
Once the TMG is published, everyone associated to the TMG will automatically be assigned the training in their Preferred Language.
If a Team is not associated for the student’s Preferred Language, the student will be assigned to the English Team.
Manageable/Multi-Language
When an Item is “Manageable” (“Supervisor Can Manage” field is selected) and you provide the training in additional languages to English, you would associate a Team for each combination of Risk Level and Language to the Item.
The training (in the student’s Preferred Language) is only assigned once a Risk Level rating is approved by the Primary Supervisor in Learner.
If a Team is not associated for the student’s Preferred Language, the student will be assigned to the English Team for the selected Risk Level.
Summary
Team Management is a great addition to VTA in 7.2. It gives organizations a tool that allows Primary Supervisors to have a direct impact on a student’s compliance training needs in real-time.
It does so in a controlled and transparent manner that involves both the Primary Supervisor AND the student.
Of course, the end result of the process is that students have the compliance training in their training plan. Having it in their preferred language is a big bonus.
